Department Head Job Descriptions

Art Show decide room map; contact artists; jury for appropriateness; send/receive apps, fees & bios; obtain panels, tables, electricity, etc.; arrange direct sales & auction, payments; arrange for shipping in/out.
Assist. Chair assist Chair; be able to step in if Chair is unable to perform any duties for whatever reason; maintain awareness of committee's and Chair's activities; maintain business meeting agenda; run business meetings.
Chair overall direction; administrative co-ordination; maintain awareness of concom job descriptions, department heads, concom activities; keep Assistant Chair informed of activity; delegate.
Community Resource Tables decide area map; contact community groups; send, receive apps; arrange for electrical, etc. needs; be contact point.
Daily 'Zine published daily onsite during convention; includes additions/deletions/changes to classes/events; room parties; notices; possibly ads.
Dance arrange for music (dj?, live?), decorations/lights, dance floor; set hours.
Eisteddfod (Bardic Competition) set standards and catagories; arrange advertising; find judges; other appropriate needs.
Guest of Honor Liaisonsuggest people; make contacts; arrange with Hotel Liaison for guest space; arrange with Scheduling for panels/workshops/etc. for GoHs to be on.
Hospitality set menu and serving schedule; get Food Handler's Card; buy, prepare food & drink; keep all food prep and food service areas clean/neat, keep entire suite clean.
Hotel Liaison arrange hotel tours; negotiate contract for best deal; handle all hotel-related needs and disputes.
listadmin be familiar w/Yahoo (usage of calendars, files areas, Yahoo IDs, etc.); keep threads on-topic; maintain user lists and settings and group settings; timely updates to grouparea homepage(s) to keep in line with event goals and official website; write/maintain online files for auto-send on subscribe, unsubscribe, etc.; run polls as recommended by ConCom on appropriate list (suggest polls?); help users.
Marketplace (vendors) decide room map; contact vendors; jury for appropriateness; send/receive apps & fees (& bios from handcrafters & service-givers); obtain tables & chairs; have extra dollies available for pack-in/out.
Office "Con Central" on site. Also info booth; message center; on-site printing
Publications assembly, editing, printing, and distribution of Progress Reports and of other paper publications (Program Book, Pocket Program, quartersheets, business cards, flyers, posters, etc.); sell ad space in PB, maintain hardcopy archive of all published items.
Registration Pre-Reg - collect & record membership fees and send them on to Treasurer; maintain membership database; get database updates to whatever departments need them; get PR to new members; get PR updates to existing members; arrange for completed badges (layout & artwork?).
On-site Reg - Membership sales; distribution of Membership packets; Pre-Reg pick-up.
Scheduling panels, workshops, lectures, etc. Contact instructors/panel members; develop room/time use schedule & class titles; arrange for whiteboards, AVM, etc., as needed.
Secretary handle legal paperwork (state and federal filings, etc.); maintain non-profit paperwork; manage correspondence; take meeting minutes and publish to concom list; maintain PO Box.
Security keep things peaceful in a diplomatic way; peacebonding as needed; possibly arrange for radios used by Security team
Signage make and post all on-site signs for con events, classes, static-event rooms, etc.; also make & post all sign updates.
Tech arrange for electrical/electronic equipment for various events, probably including all other departments' needs
Treasurer maintain financial books and accounts; make required (usually monthly) reports to concom meeting; handle income and outgo; encourage wise use of funds; handle all bank business. Set up and maintain PayPal account. Suggest extraneous fundraising. Help w/department budgets. (Unless otherwise appointed, first deputy is Secretary followed by Chair.)
Video make arrangements for technical/hardware needs; assemble appropriate viewing list; acquire videos (from "Rosemary's Baby" to "The Craft")
Volunteers keep track of who needs help where and with what; send help as needed. (applies before and during convention)
webadmin timely updates to webpage including needed expansions, additions or deletions; maintain domain name. Explore and crosslink w/other like-minded sites and webrings. Paypal assistance.
at-large stay aware of everything; catch whatever starts to fall through cracks and hand it off to appropriate person.
