GPACG Minutes from 14 August 1999

Attending were Vincent Sharp, Peggy Kennedy, Brenna Sharp, Annika Johnson, Ula Cimmiyotti, and Lydia Sharp.

The meeting was started with a discussion about a set of emails sent back and forth between Peggy, Joy Day and Byron Connell regarding an overlap in area between GPACG and Beyond Reality CG and apparently hurt feelings on us starting our own chapter. Ula Cimmiyotti is to contact Byron to get Kate McClure's contact information. (Kate is the new president of Beyond Reality.) (Ed.- Didn't have to. It's already on the ICG Local Chapters page.)

Sharon Trembley, the ICG Treasurer, has not received our membership dues or our roster. Annika will resend the items to Sharon.

The minutes from the July 10 meeting read and acceptedwith the following changes: add Eve and Brian to the attending list, change Glitziana to Glitzlandia.

President's Report:

See above.
A letter from Bruce and Nora Mai regarding an ICG photo catalog was read. Peggy has a copy if anyone is interested in seeing it for themselves.

Vice President's Report:

We need to include job descriptions in the standing rules or in some other place for future reference. All officers are to write a job description and exchange them with the other officers and members for comments.

Secretary's Report:

Worked on By-Laws.

Treasurer's Report:

There has been no income this month.
There have been no bills presented to the Treasurer at this time. A check was sent to the ICG in May, but never arrived, so will be sent again on Monday.
The account total is therefore $167.41, with $74 to be sent again to the ICG, $35.41 in the newsletter fund, and $58 in the general fund.
Brenna and I went to Washington Mutual to prepare to open an account for the GPACG. I need to get the 501(c)3 certification and the tax ID number from the ICG Treasurer in order to open the account.
Brenna requested that Annika send her information on newsletter expenses to date.

Editor's Report:

Brenna is working on setting up trades with other groups for newsletters. She sent the Australian group copies of the June, July, and August issues.
The web page is mostly completed, Brenna just needs the picture of Pat Kennedy to scan in and it will be completed (picked up photo at meeting). When it is completed and loaded on to their server, Brenna will send us the URL and we can all look at it and try to "break" it.
We are still not on the ICG web page. (Page updated on 8/12/99 and now includes us.)
Vincent and Brenna would like to schedule a time to rent lighting equipment to do a photo session. Please contact them if you are interested. This is a great way to get your photo on the cover.

Old Business:

Vincent has a concept drawing of "Glitzlandia". We all agree that it looks good. Brenna moved and it was accepted to use Vincent's artwork of "Glitzlandia" as the GPACG logo. Brenna will design letterhead and business cards using the new logo.

New Business:

Brenna is now on the ICG Budget and Finance committee. If you have any questions or comments in this matter, please contact Brenna. Annika asked what the committee is and what they are supposed to do. Brenna will get back to us on this.

Brenna also handed out brochures on how to subscribe to the various ICG mailing lists.

After a break that included bringing out munchies brought by various people (cake, cantaloupe, crackers and salmon spread ... yum!), we reviewed the proposed GPACG by-laws. With the few modifications made at this time, they look to be good. This latest revision will be included in the September issue of Critical Measure (Ed. - the one you're reading right now.) We will vote on accepting them at the October meeting.

Ula is to get the information to register GPACG as a non-profit group in the state of Oregon.

This concluded the business section of the meeting.

Craft Session:

We watched the video Theatré de la Mode from the Maryhill Museum exhibit. (Please refer to A Costumer's Look at the Movies in this issue.)

GPACG Minutes from 11 September 1999

Attending were Vincent Sharp, Brenna Sharp, Annika Johnson, Ula Cimmiyotti, Eve Morgan and Brian Whitlow.

The minutes from the August 14 meeting read and accepted.

President's Report:

Due to health considerations, Peggy is not present and will be taking a less active role in the Guild in the immediate future. Brenna will update us as she hears more from her. (Please see page 5.)

Vice President's Report:

We need to work on plans for the OryCon party. Please volunteer to bring your favorite finger food / munchy dish. The following people have volunteered to provide:
BrianShortbread
EveFruit / Veggie trays
AnnikaWheat-free cookies
Ula7-layer Bean Dip & Chips
BrennaFruit / Veggie Dips
VincentDrinks
Any others?

There is an OryCon Committee meeting on 12 September 99, if anyone is interested in going. Is anyone interested in volunteering for costuming panels? Brenna, Vincent, and Annika are going to go the meeting to check it out.

Contacted Kate McClure of Beyond Reality CG, she was unaware of any conflict or ill will. She is happy to have us set up our own branch. (See last month's notes for more info.)

Bruce & Nora Mai are still looking for photos for the precursor to the Annual. Please collect any good reproduce-able photos and deliver to Brenna with a completed form (available from Brenna) and we will send in a packet together. The deadline for submission is October 1. (ED.- If we are a couple days late, they will probably still accept it.)

Secretary's Report:

Did not contact Kate McClure (see above). I have the forms to incorporate as a non-profit in the state of Oregon. I need some information from the Treasurer to fill it out. I will have this done by the next meeting.

I have received nominations from Brenna, Vincent and Annika and have forwarded them on to Brenna.

I need to receive all proxy votes for the October meeting by October 6, 1999, or they may be given to Brenna at the meeting.

Treasurer's Report:

There has been no income this month.
The Editor has presented a bill for $10.54 for stamps and overseas postage, which has been re-imbursed. The ICG has received our check of $74 and our membership list. We should be receiving our Costumers' Quarterlies from now on.
The grand total is therefore $82.87, with $24.87 in the newsletter fund and $58.00 in the general fund.

I have been in communication with the ICG Treasurer and she said thst she is looking for the certification and tax ID numbers I (and a few other branches) have requested.

Editor's Report:

We have 3 trades going with other branches; they are the Australian CG, Beyond Reality CG, and the Chicagoland CG.
The web page is up and running, go check it out - www.xprt.net/~raven/gpacg
A recommendation for whoever is Editor after elections: send a postcard to everyone who has received a comp. copy in the last 6 months with notice of the new meeting site (assuming that it is no longer at Peggy's).
We need cover art.

Old Business:

Brenna is working on letterhead and business cards for the GPACG using Vincent's Glitzlandia representation. Brenna has shrunk it down to about 2 inches and it still is easily recognized. She should be able to reduce it even more for the cards.

Brenna has not received any more information on the Budget & Finance Committee; she will keep us updated.

New Business:

We need to start contacting more groups that have an interest in costuming, please start thinking of people to contact.

Vincent volunteered to contact the Klingon groups in the area.

Ula will look for an indoor location for the photo shoot we have been trying to get together.

This concluded the business section of the meeting.

Craft Session:

Ula wore her sari made of asut to the meeting and took it off to show how it was wrapped and to show how the asut is affixed to the fabric. Under the sari, she was wearing a black knit choli (crop-top) and dark navy blue satin "harem" pants. The sari itself was made of a dark royal blue sheer material with silver spangling.

Munchies this month included fresh tomatoes and lemon cucumbers that Peggy sent over from her garden, garlic ranch dip from Brenna and watermelon from Eve and Bryan. There were also iced tea and hot coffee.
